What it covers

What a retail chain keeps in VemLease

A chain with many stores has many leases, each with its own dates, rent and clauses, often in a folder or a spreadsheet that one person knows. VemLease keeps them on the lease, where the whole team can see them.

One register of store leases

Every lease with its start and end date, its units, its clauses and its documents. One lease can hold several units, each with its own end date.

Critical dates and options

Expiries, renewal options, break options and control dates are tracked on the lease, with alerts before they fall due.

How lease tracking works

Rent steps and indexation

Rent steps and indexation are set on the lease in one flow, so the rent of each store is known for every year of the term.

Base rent and how it changes

Charges on the lease

Service charges, CAM and other charges sit with the lease they come from, so the full occupancy cost of a store is in one place.

Companies and countries

Leases are kept per company and per management file, so a chain with several legal entities or several markets runs them in one system.

Reporting for the chain

The rent roll and the critical dates across all stores, with dashboards and customisable reports, and a data cube for the BI tool you already use.

Reporting and dashboards

One example

A store lease renewal, from alert to decision

Renewals and break options are where a retail chain wins or loses the most on its leases. This is how one runs when the lease is in VemLease.

1. The date is on the lease

The end date, the renewal option and the notice period were entered when the lease was created, with the clause behind them.

2. The alert comes before the date

The team is alerted before the notice date falls due, not after. Nothing depends on one person remembering.

3. The store is read with its data

The rent for the next years, the charges and the footfall of the store from Vemcount sit next to the lease, so the decision is made on numbers.

4. The decision goes on the lease

The option exercised, the new rent steps or the exit date are recorded on the lease, and the next critical dates follow from them.

What a lease may or must say about rent, notice and renewal is for your legal adviser; VemLease keeps what was agreed and when it falls due.

Connected data

The lease, next to the footfall of the store

Vemco Group counts visitors for retail chains such as Bauhaus, Skechers, Magasin, KICKS and Hifi-Klubben with Vemcount. VemLease is built on the same platform, so the lease of a store and the visitors of that store sit side by side.

Footfall from Vemcount

Visitors per store, entrance and floor, from the platform that counts 60+ million people a day.

Questions

Retail lease software: common questions

What is retail lease management software?

Retail lease management software keeps the leases of retail stores in one system: the dates, rent, clauses, charges and documents of each lease, with alerts before a critical date. For a retail chain it holds the leases of its stores as the tenant; for the owner of a shopping centre or retail park it holds the leases of the tenants. It is also called lease portfolio management software or lease administration software.

Is VemLease for the retail chain or for the landlord?

Both keep their leases in it. A retail chain keeps the leases of its stores in VemLease; the owner of a shopping centre keeps the leases of its tenants in it, with turnover rent and tenant sales. VemLease covers commercial, residential and special-purpose real estate, with 1,500+ properties managed. The landlord side is described on the shopping centres page.

How does VemLease handle rent increases?

Rent steps and indexation are set on the lease when it is created, in one flow, so the rent of each store is known for the years ahead. In several markets government indexes can be read automatically and applied through the lease clause. What a lease may or must say about increases is for your legal adviser.

Can one lease hold several units or several floors?

Yes. One lease can hold several units, each with its own end date. When a unit is split or merged, the old unit is ended, never deleted, so its lease history stays.

Does VemLease count the visitors of our stores?

No. Footfall comes from Vemcount, Vemco Group’s people counting platform, which counts 60+ million people a day. VemLease is built next to it, so the visitors of a store sit next to the lease of that store.

Which systems does VemLease connect to?

VemLease has connectors for SAP ERP, Microsoft Dynamics, Sage and Salesforce, a REST API, and a SQL Server data cube that any BI tool can read, next to customisable reports.
